A practical workflow

  1. Define the viewing context

    Identify the audience, viewing distance and action expected at each location. A reception screen, a checkout display and an employee noticeboard serve different purposes.

  2. Choose the content format

    Use prepared images and videos for finished media, the canvas for composed layouts, and an appropriate app for information that needs to change with its source.

  3. Review before distribution

    Check legibility, aspect ratio and information freshness, then connect the content to the relevant channel and playback schedule.

How it is used

Static assets or changing information

An event poster can be a static image. A price list or production dashboard needs an agreed data source and refresh process. Select the content method around that difference.

Design for the actual viewing distance

A layout that works on a laptop may be unreadable across a hall. Review text size, contrast and display duration on the intended screen; give the primary message a clear visual hierarchy.

Separate shared and local responsibility

Keep brand assets and shared messages distinct from branch-specific information. Workspaces and permissions help match daily updates to the team responsible for them.

Treat freshness as part of quality

Assign an expiry date to notices, an owner to data and a source to prices. A file being available in the library does not mean it is still suitable for publication.

Deployment scope

File-format support, offline playback and web-content behaviour depend on the chosen player and content type. External data also requires authorized source access and project configuration.

Can a screen display data instead of a static image?

Evaluate the data dashboard or the relevant specialist app. Agree the source structure, refresh interval and information that may be shown publicly.

What should we test in a demonstration?

Follow one real asset from upload or data preparation to preview and playback. Review how the selected player handles a content change and a connectivity interruption.
